To properly identify items in the Barcode Scan App, the barcode field in Exact Online is used to recognise items. When the scanned barcode matches the barcode field in Exact Online, the item is recognised:
The barcode field in Exact Online can only contain numeric values. Many companies already use barcodes on their products that also contain letters. This means the barcode field in Exact Online cannot be used to identify the item. When no item is found based on the barcode field, the item code or search code of the item is also checked. These fields can contain letters.
Which barcode types are supported?
This depends on the barcode scanner being used. When the barcode scanner scans a barcode, it must be able to read the barcode type. When the scanner can read the barcode type, it will pass the data encoded in the barcode as keyboard input to the app. When an enter key is sent after the scanned barcode, the Barcode Scan App will immediately recognise and process the barcode.
There are many different barcode formats in which data can be stored. Common formats include EAN-13, CODE128, QR code and GS1. Which type of barcode you use often depends on the requirements of your customers. For example, the EAN-13 barcode is widely used for items available in supermarkets. GS1 is widely used for medical items or items with batch or serial numbers.
Printing item labels from the app
From the Barcode Scan App you can also print labels with a barcode that can be used to identify the item. A number of standard label templates are available for this purpose. We can also create a custom label template based on your specifications. The labels created from the app have a barcode of type CODE-128 or QR code. Creating GS1 barcodes is not yet supported, but if you need this please let us know.
Barcodes with batch and serial numbers
If you use batch or serial numbers, it is important that the batch or serial number is registered with every action. This makes it possible to trace exactly what has happened to your items. This means that for every action (receiving, transferring, dispatching, etc.) the batch or serial number must be entered. This can be done in several ways:
Manual
It is of course possible to enter batch or serial numbers manually. However, this is labour-intensive and increases the chance of errors.
Scanning item code and batch/serial number
Another option is to include 2 barcodes on your item label. First you scan the item number to detect the item. Then you scan the barcode with the batch or serial number. This allows you to register your product in 2 actions.
Batch or serial number labels generated from the app
The Barcode Scan App can generate item labels with a QR code. This QR code contains both the item number and the batch or serial number encoded:
This makes it possible to recognise an item and batch/serial number with a single scan.
GS1 barcodes
GS1 barcodes comply with an internationally established standard for providing items with identification. A GS1 barcode can also encode multiple data fields. This makes it possible to both identify the item and determine the batch/serial number with a single scan. To use a GS1 barcode, you must have your items registered with this organisation. Creating GS1 barcodes is not yet supported, but if you need this please let us know.
