The app is directly linked to your Exact Online administration and supports all common warehouse processes: registering incoming goods, picking and shipping sales orders, performing stock counts, carrying out warehouse transfers, processing returns, and managing production work orders. The app works on virtually any device with a web browser. You can use it on smartphones (Android and Apple), tablets, PCs, laptops, and industrial barcode scanners. It supports scanning with the device camera, USB barcode scanners, Bluetooth barcode scanners, and industrial handheld scanners from manufacturers such as Zebra, Honeywell, and Newland. For Android there is also a dedicated app available in the Google Play Store. The Barcode Scan App integrates seamlessly with both Exact Online Trade and Exact Online Manufacturing. All inventory changes are synchronised with Exact Online in real-time via the Exact Online API. Follow these three steps: **Step 1: Open the app**. Go to barcodescan.nl/app in your web browser. The app works best in Google Chrome on any device. On Android you can also download the app from the Google Play Store. On iPhone and iPad, use Safari. **Step 2: Log in with Exact Online**. Click the login button and sign in with your Exact Online credentials. The app will request permission to access your Exact Online data. Once authorised, the app automatically loads your items, inventory data, and order information. **Step 3: Process inventory**. Within minutes you can scan your first barcode. Select the function you need (incoming goods, outgoing goods, stock count, etc.) and start scanning. The first time you log in, all required data is retrieved from Exact Online. This may take some time depending on the number of records in your administration. After that, each subsequent login only checks for changes, which typically takes about a minute. ### Trial Period You can try the app free for one month with no obligations. No payment information is required to start the trial. You have full access to all features during the trial period. This eliminates manual data entry and ensures your inventory is updated in real-time as goods arrive at your warehouse. ### Viewing Purchase Orders Log in and click the "In" button on the home screen. A list of undelivered purchase orders appears, showing details such as: - Order number - Supplier name - Order date - Delivery status (how many items have been received vs ordered) You can sort the list by clicking column headers. Filter the list by typing in the input fields in the column headers to quickly find the purchase order you want to process. ### Processing a Purchase Order Select a purchase order from the list by clicking on it. The order lines are displayed showing: - Product name - Number of ordered items - Number of already delivered items - Number still to be delivered - Quantity selector for the current receipt Click the hamburger menu icon on an order line to view additional information about the purchase order. ### Adjusting Quantities You can adjust quantities on each order line in several ways: - **Scan barcode**: Scan the product barcode to add 1 to the count - **Plus/minus buttons**: Use the + and - buttons to manually adjust quantities - **Direct entry**: Tap the number field and type the exact quantity - **Double-click**: Double-click on the product row to copy the full remaining quantity - **Swipe right**: Swipe the order line to the right to copy the full remaining quantity - **Swipe left**: Swipe left to report a shortage (mark that the item was not received) When the entered quantity matches the expected quantity, the order line turns green. ### Submitting the Receipt After setting the correct quantities for all items, press the send button. The goods receipt is then processed via the Exact Online API and the inventory is immediately updated in Exact Online. A confirmation message appears to indicate successful processing. ### Storage Locations When you use storage locations in your warehouse, you can specify which location the goods should be received at. The app can pre-fill the default receiving location based on your settings. After receiving at the default location, use the put-away function to move items to their final storage positions. ### Batch and Serial Numbers If the items require batch or serial numbers, the app will prompt you to enter or scan them during the receipt process. You can scan batch/serial number barcodes or enter them manually. The app also supports automatic generation of batch and serial numbers. ### Adding Photos or Documents With the advanced subscription, you can attach photos or documents to the goods receipt. This is useful for documenting delivery notes, damage reports, or proof of receipt. This ensures accurate order fulfilment and immediate inventory adjustments. ### Viewing Sales Orders Log in and click the "Out" button on the home screen. A list of open sales orders appears showing: - Order number - Customer name - Order date - Delivery status (items delivered vs ordered) Sort the list by clicking column headers. Filter by typing in the input fields to quickly find specific orders. With the advanced subscription, you can also filter to show only deliverable orders based on current stock levels. ### Processing a Sales Order Select a sales order from the list by clicking on it. The order lines are displayed showing: - Product name - Ordered quantity - Already delivered quantity - Remaining quantity to deliver - Quantity selector for the current delivery Click the hamburger menu icon on an order line to view additional information about the sales order including delivery address, customer details, and order notes. ### Adjusting Quantities Adjust quantities on each order line using the same methods as for incoming goods: - **Scan barcode**: Adds 1 per scan - **Plus/minus buttons**: Manual adjustment - **Direct entry**: Type the exact quantity - **Double-click**: Copy the full remaining quantity - **Swipe right**: Copy the full remaining quantity - **Swipe left**: Mark a shortage or hide the line ### Adding Extra Lines You can add extra lines to a sales order while processing. Scan the barcode of an additional item and it will be added to the order. This is useful in scenarios such as car repair workshops where additional parts are needed during the work process. ### Submitting the Delivery After setting the quantities, press the send button. The delivery is booked via the Exact Online API and the inventory is immediately updated. This gives warehouse managers and staff immediate access to current stock information without needing to open Exact Online directly. Log in and click the "Stock" button to view your current inventory. The inventory overview shows all items with their current stock levels. You can filter by product name or barcode to quickly find specific items. The search starts showing results after entering 2 characters. Click on a product to see the inventory per warehouse. This detailed view shows how much stock is available at each warehouse and storage location. You can also see batch and serial number details for items that use them. For batch-tracked items, the batch number, quantity, and expiry date (if applicable) are displayed. For serial-tracked items, individual serial numbers are listed. Click the "Warehouses" button to see an overview of all your warehouses and the total stock at each location. This provides a high-level view of your inventory distribution across all locations. The inventory data is synchronised with Exact Online, so you always see the most current stock levels. When a goods receipt, delivery, transfer, or stock count is processed, the inventory is updated immediately. If you need to manually refresh the data, you can do so from the settings page using "Load changes" or "Load all". The transaction overview shows all inventory movements including goods receipts, deliveries, transfers, stock counts, and production-related transactions. You can sort the list by clicking on the column headers to organise the data by date, item, warehouse, or other criteria. For each item, enter the counted quantity. The app shows the expected quantity from Exact Online for comparison, making it easy to identify discrepancies. ### Count per Storage Location You can also perform stock counts per storage location. Select a storage location (by scanning the location barcode or selecting it from the list) and then count all items at that location. This is particularly useful for cycle counting and full warehouse inventories. ### Processing Options After counting, you have two options: - **Process immediately**: Creates and completes a stock count in Exact Online. The inventory is adjusted to match the counted quantities right away. - **Save as draft**: Saves the count for processing later. This is useful when counting a large number of items across multiple sessions or when you need supervisor approval before finalising. You can return to saved drafts and continue counting where you left off. When ready, process the draft to update the stock levels in Exact Online. ### Batch and Serial Number Support Stock counts fully support batch numbers and serial numbers. When counting batch-tracked items, you can specify the batch number and quantity per batch. For serial-tracked items, each individual serial number can be recorded. ### Storage Location Support When your warehouse uses storage locations, the stock count can be performed at the storage location level. This provides the most granular inventory accuracy. This is essential for managing multi-warehouse operations and organising inventory within a single warehouse. ### Creating a New Transfer To create a warehouse transfer, select the destination warehouse from the list. Then start scanning the items you want to transfer. For each item, set the quantity to be moved. After adding all items, press send. The transfer is created as a draft in Exact Online. Important: warehouse transfers must be finalised in the Exact Online user interface to complete the stock movement. ### Storage Locations When you use storage locations, additional source and destination fields appear where you can specify the exact locations for the transfer. Scan the storage location barcode or select it from the dropdown to set the source and destination. This ensures accurate tracking of where items are moved from and to within the warehouse. In the settings under the Move tab, you can configure whether storage locations should be pre-filled with defaults. ### Planned Transfers The app also supports planned transfers that have been created in Exact Online. These appear in the transfer overview and can be processed by scanning the items. This allows warehouse managers to plan transfers in Exact Online and have warehouse staff execute them using the app. ### Batch and Serial Number Support Transfers fully support batch numbers and serial numbers. When transferring batch-tracked or serial-tracked items, you select which specific batches or serial numbers to move. This maintains full traceability of your inventory. After receiving goods at the default storage location (such as an inbound dock or receiving location), the items are displayed in an overview so you can easily move them to the final location. The overview shows each item with its item code, description, item group, quantity to put away, and unit. Click on an item to start the put-away process. The app opens the transfer screen with the default storage location already filled in as the source location. Scan or select the destination location and confirm the transfer. You can also scan the barcode of an item to look it up directly in the overview. Use the filters to search by item code, description, or item group. Returns management is included in both the basic and advanced subscriptions. ### Viewing Pending Returns The returns overview shows all pending returns that need to be processed. You can see the return details including the associated sales order, customer, and items to be returned. ### Adding a New Return To add a new return, select from delivered sales orders. The app shows the items that were delivered and allows you to select which items are being returned and in what quantities. ### Processing Options When creating a return, you have two choices: - **Re-deliver**: The returned items are added back to inventory and can be re-shipped to the customer or another customer - **Credit note**: A credit note is created for the returned items After selecting the return items and quantities, you can process the return immediately or save it for later processing. The return is then registered in Exact Online, and the inventory is adjusted accordingly. You can process existing sales orders for delivery, create new sales orders, verify picked orders, assign orders to specific pickers, process multiple orders simultaneously, and save drafts for later processing. The sales order overview shows all open sales orders with their order number, customer name, date, and delivery status. Orders can be sorted, filtered, and searched. When processing a sales order, each order line shows the product name, ordered quantity, delivered quantity, remaining quantity, and a quantity selector. Several methods are available for adjusting quantities on order lines: scanning barcodes (adds 1 per scan), using plus/minus buttons, entering numbers directly, double-clicking to copy the full quantity, swiping right to copy the full quantity, or swiping left to mark a shortage. To create a sales order, select a customer from the customer list. Then add items by scanning their barcodes or searching by name. For each item you can adjust the quantity, add notes, and modify the price if needed. After adding all items, submit the order. A new sales order is then created in Exact Online with all the entered information. You can immediately proceed to pick and deliver the order, or leave it for processing later. Log in and click the "Check" button. A list of partially processed sales orders appears. These are orders that have been fully or partially processed but have not yet been financially completed. The list can be sorted and filtered. Select a sales order to check. The order lines are displayed with the product name, ordered quantity, delivered quantity, remaining quantity, and a quantity selector for the number being verified. Adjust quantities by scanning barcodes, using plus/minus buttons, entering numbers directly, or double-clicking to copy the full quantity. After verifying, press send. The verification results are saved as notes on the order lines in Exact Online. When you look up the sales order in Exact Online under Sales, Orders, Overview, the check has been added to the remarks of the order lines. This feature is useful in warehouses with multiple order pickers. The assignment screen shows all unassigned sales orders and a list of available users. Drag a sales order to a user to assign it to them. Once assigned, users only see the orders that have been assigned to them when they open the outbound goods screen. This ensures efficient distribution of work and prevents multiple pickers from working on the same order. The app retrieves inventory-related data including: - Purchase orders and goods receipts - Sales orders and goods deliveries - Stock levels per warehouse and storage location - Batch numbers and serial numbers - Item master data (codes, descriptions, barcodes) - Warehouse and storage location information - Supplier and customer information relevant to orders - Work order and production data ### When is Data Refreshed? On first login, all required data is retrieved from Exact Online. This initial load may take some time depending on the number of records in your administration. On subsequent logins, only changes since the last refresh are loaded, which typically takes about a minute. You can manually refresh data at any time from the settings page: - **Load changes**: Loads only modified data, faster but may miss some changes - **Load all**: Completely rebuilds the database, ensuring full accuracy ### What Happens During the Trial Period? You can use the Barcode Scan App free for 1 month. If you decide not to continue, you can cancel at no cost. No payment information is required to start the trial.
